[arrl-odv:34912] ODV Email Failure

Yesterday, I called an ARRL Director to discuss a recent message I had sent to ODV on the previous day. The other Director had not received it. I had been wondering what was wrong with my own email settings, as I have not been seeing the messages I have posted to ODV. Further investigation has shown that I have not been receiving ODV messages for some time. I have not received 34865, 34878, 34884, 34886, 34887, 34888, 34889, 34890, 34891, 34892, 34893, 34894, 34895, 34, 896, 34897, 34898, 34899, 34900, 34901, 34902, 34903, 34904, 34905, 34906, 34907, 34908, 34909, and any number above 34910. I have not been receiving A&F Committee messages either, as well as mail from other committees. Obviously this is not a problem exclusive to me. Note that one of the messages I sent to ODV recently was about arrl.net problems. This is likely to be part of the same issue, that was apparently never addressed I believe it is staff's responsibility to provide adequate communication for the Board. They have failed to do so. There is apparently some problem caused by ARRL addresses being designated as spam sources by some ISP's. It is management and staff's obligation to attend to these issues. It is not a Director's responsibility to solve these problems. We have paid staff to do so. However, I suggest using Director's home email addresses for ODV and other email reflectors rather than CALLSIGN@arrl.org, or anything to do with ARRL.org. Also, there should be some place on the arrl.org web-site where ODV and other reflector emails are available for view by the Board members. I also hope that some method can be found to rectify the problem and provide those of us who have not seen ODV and committee emails to view them. .73, Dick Norton, N6AA

The reflector has a web interface that organizes all ODV messages by month and year. You may not have known about this wonderful tool. I can speak with a certain level of knowledge working full time in the technology field specializing in cybersecurity. A lot of e-mail providers including the web based (gmail, aol, yahoo) are starting to implement more robust e-mail protections to slow down messages with malicious intent. Glancing at the membership of ODV, it appears several of the members of ODV are not using the arrl.org mailbox including yourself. It is highly likely that an e-mail protection in place by yahoo is slowing or denying the messages coming from the email reflector. I am sure David or Diane can have Mr. Berry validate my educated guess. I have been using the arrl.org mailbox since joining the board family and haven’t missed the receipt of a single message. Former ISP owner here. I would add that Yahoo is one of the worst offenders when it comes to flaky email delivery, for both protocol reasons and unknown reasons. I run a mailman list server at home for a few friends and orgs, and it’s a constant battle with Yahoo. I always recommend that people migrate away from them. The only one worse is anything associated with the former PacBell (pacbell.net, sbcglobal.net, etc). Gmail used to accept most anything, but as of about 9 months ago rejects direct email that doesn’t have proper DMARC / DKIM / SPF records<https://www.cloudflare.com/learning/email-security/dmarc-dkim-spf/>. It will pass list server mail (forged by definition), but not with 100% certainty. As Brent says, all of the ISPs and mail services are tightening filters up to discourage and filter spam. Using an email forwarder is a recipe for disappointment at some point. As has been mentioned before, MIT gave up on this years ago and gives alums an O365 account now. If you need assistance please submit a support ticket and IT will arrange a time to assist you. Just like any business expects its folks to use the system provided, we need to have everyone directly connect to Microsoft 365 (This is all run by Microsoft). It is very simple to switch to this approach (instead of forwarding your email). Most mail clients are designed to handle multiple accounts. You can send mail from your official ARRL.ORG email address and your personal or work email all in the same mail client. You can keep ARRL email in a separate folder or intermix the inbox with other email from other systems. Responding to an email sent to your arrl.org address will automatically respond from your arrl.org account with an ARRL Signature line. Our Helpdesk team can guide you through setting this direct connection up in a quick call. If you would like, we will do all the heavy lifting for you! It is also very simple to add direct arrl.org access to your mobile device as well. We can help with that too. We have already worked with many board members to do this, and they seem to all like the flexibility and no longer have problems. You will also gain access to our Microsoft 365 Groups folders (to see archives of messages) where many of our email reflector groups have moved to. In addition, as you will be sending email from within our mail system, you can submit support tickets directly to our helpdesk at support@arrl.org<mailto:support@arrl.org>. The most backward thing I see in the administrative running of the Board is the failure to use calendar invitations to schedule meetings. Almost every blasted meeting you all send out DOES NOT INCLUDE a calendar invitation. These days, in everything I do, INCLUDING CUB SCOUTS, is arranged by calendar invite. In the corporate world, send out a message with a date and time for a meeting and you won’t get it scheduled on anyone else’s calendar without an appointment event included. Creating your own calendar event with Outlook with the attendee's Outlook email address included will create emails to attendees. A five-device license for the Microsoft Office suite - Word, Excel, Office, Powerpoint, Teams and others - are included for the time you're on the Board. There are literally thousands of videos about the use of these components of Office. You might start here, using only a web browser: https://support.microsoft.com/en-us/office/schedule-with-outlook-on-the-web-... Many of us don't see a regular workplace, but the skills I'm describing are required of most office workers. Learn how to use Outlook and office, get a computer made in this decade, and your life will become easier. After all, most of us learned to use Zoom 3 years ago in a quick hurry. I would add that Yahoo is one of the worst offenders when it comes to flaky email delivery, for both protocol reasons and unknown reasons. I run a mailman list server at home for a few friends and orgs, and it’s a constant battle with Yahoo. I always recommend that people migrate away from them. The only one worse is anything associated with the former PacBell (pacbell.net, sbcglobal.net, etc). Gmail used to accept most anything, but as of about 9 months ago rejects direct email that doesn’t have proper DMARC / DKIM / SPF records<https://www.cloudflare.com/learning/email-security/dmarc-dkim-spf/>. It will pass list server mail (forged by definition), but not with 100% certainty. As Brent says, all of the ISPs and mail services are tightening filters up to discourage and filter spam. Using an email forwarder is a recipe for disappointment at some point. As has been mentioned before, MIT gave up on this years ago and gives alums an O365 account now. It is highly likely that an e-mail protection in place by yahoo is slowing or denying the messages coming from the email reflector. This is likely to be part of the same issue, that was apparently never addressed I believe it is staff's responsibility to provide adequate communication for the Board. They have failed to do so. There is apparently some problem caused by ARRL addresses being designated as spam sources by some ISP's. It is management and staff's obligation to attend to these issues. It is not a Director's responsibility to solve these problems. We have paid staff to do so. However, I suggest using Director's home email addresses for ODV and other email reflectors rather than CALLSIGN@arrl.org<mailto:CALLSIGN@arrl.org>, or anything to do with ARRL.org<http://arrl.org/>. Mickey: An interesting idea but I tried that feature for a while. You assume all of us use MS Outlook for calendaring but I for one cannot. In my world, and perhaps others on the board, best practice is not using Calendar to run any kind of professional practice and not to split personal & professional time management. I run into this argument regularly. MS Calendar is adequate for many uses where deadline tracking and competing priorities and integrating to-do lists are not a daily issue. But for lawyers (and most others needing time management integrated with projects and work), we are taught by law management professionals to stay away from running one's life on MS Calendar and to not split into two calendars. The most popular professional use example is Time Matters by LexisNexis which I have used for 25 + years. Some day when I retire from a professional practice, I suspect I will prefer something like Calendar. But the "accept" "Reject: "suggest another date or whatever does not work for some of us and keeping two separate Calendars, say a personal calendar for non-work stuff and a professional calendar, is a nightmare. I tried that several times. Manual entry is superior and a must for some of us who need. My IT contractors, a law practice MS shop which used MS Calendar for their own assignments and operations, agrees. Those individuals with less pressing needs and who use Calendar already benefit if they already use it for everything else. It is inexpensive but not that powerful. Almost every blasted meeting you all send out DOES NOT INCLUDE a calendar invitation. These days, in everything I do, INCLUDING CUB SCOUTS, is arranged by calendar invite. In the corporate world, send out a message with a date and time for a meeting and you won't get it scheduled on anyone else's calendar without an appointment event included. Creating your own calendar event with Outlook with the attendee's Outlook email address included will create emails to attendees. A five-device license for the Microsoft Office suite - Word, Excel, Office, Powerpoint, Teams and others - are included for the time you're on the Board. Hopefully, I can make this easy. Contact Leroy Stampp lstampp@arrl.org <mailto:lstampp@arrl.org> and set a time for a phone call to get your email set up. He will either instruct you how to set it up or will remote into your computer and set it up for you. Since I did this, I have had ZERO troubles with my arrl.org or my arrl.net addresses. I receive them on all my computers and my phone, including copies that I send to myself (which was a major problem before). It took 15 minutes of my time. My main email address continues to be separate and was not affected by this process. The email forwarding that we all depended on before is and will continue to be unreliable. As Brent and Kristen indicated, it is not due to the ARRL. It is a sign of the times and will only get worse. I hope this helps. The reflector has a web interface that organizes all ODV messages by month and year. You may not have known about this wonderful tool. I can speak with a certain level of knowledge working full time in the technology field specializing in cybersecurity. A lot of e-mail providers including the web based (gmail, aol, yahoo) are starting to implement more robust e-mail protections to slow down messages with malicious intent. Glancing at the membership of ODV, it appears several of the members of ODV are not using the arrl.org mailbox including yourself. It is highly likely that an e-mail protection in place by yahoo is slowing or denying the messages coming from the email reflector. I am sure David or Diane can have Mr. Berry validate my educated guess. I have been using the arrl.org mailbox since joining the board family and haven't missed the receipt of a single message. Yesterday, I called an ARRL Director to discuss a recent message I had sent to ODV on the previous day. The other Director had not received it. I had been wondering what was wrong with my own email settings, as I have not been seeing the messages I have posted to ODV. Further investigation has shown that I have not been receiving ODV messages for some time. I have not received 34865, 34878, 34884, 34886, 34887, 34888, 34889, 34890, 34891, 34892, 34893, 34894, 34895, 34, 896, 34897, 34898, 34899, 34900, 34901, 34902, 34903, 34904, 34905, 34906, 34907, 34908, 34909, and any number above 34910. I have not been receiving A&F Committee messages either, as well as mail from other committees. Obviously this is not a problem exclusive to me. Note that one of the messages I sent to ODV recently was about arrl.net problems. This is likely to be part of the same issue, that was apparently never addressed I believe it is staff's responsibility to provide adequate communication for the Board. They have failed to do so. There is apparently some problem caused by ARRL addresses being designated as spam sources by some ISP's. It is management and staff's obligation to attend to these issues. It is not a Director's responsibility to solve these problems. We have paid staff to do so. However, I suggest using Director's home email addresses for ODV and other email reflectors rather than CALLSIGN@arrl.org <mailto:CALLSIGN@arrl.org> , or anything to do with ARRL.org. Also, there should be some place on the arrl.org web-site where ODV and other reflector emails are available for view by the Board members. This is a fine kettle of fish. I'm one of the ones getting very sporadic e-mails from ODV, and several of my recent e-mails sent to staff at HQ have not been answered as well. But I'm confused. If we use the "ARRL Office365 version" of e-mail, will that work with my laptop that already has MS Office 2021 installed on it? Do I then have to get all my ARRL e-mails through MS Outlook, rather than going into my normal Comcast e-mail account on their website, or will they still be sent through Comcast? 73; Mike W7VO

He will either instruct you how to set it up or will remote into your computer and set it up for you.
Since I did this, I have had ZERO troubles with my arrl.org or my arrl.net addresses. I receive them on all my computers and my phone, including copies that I send to myself (which was a major problem before). It took 15 minutes of my time.
My main email address continues to be separate and was not affected by this process.
The email forwarding that we all depended on before is and will continue to be unreliable. As Brent and Kristen indicated, it is not due to the ARRL. It is a sign of the times and will only get worse.

Yes, but you should update outlook and keep it updated with the Microsoft tool. This will be a safer posture for you. The other Director had not received it. I had been wondering what was wrong with my own email settings, as I have not been seeing the messages I have posted to ODV. Further investigation has shown that I have not been receiving ODV messages for some time. I have not received 34865, 34878, 34884, 34886, 34887, 34888, 34889, 34890, 34891, 34892, 34893, 34894, 34895, 34, 896, 34897, 34898, 34899, 34900, 34901, 34902, 34903, 34904, 34905, 34906, 34907, 34908, 34909, and any number above 34910. I have not been receiving A&F Committee messages either, as well as mail from other committees. Obviously this is not a problem exclusive to me. Note that one of the messages I sent to ODV recently was about arrl.net problems. This is likely to be part of the same issue, that was apparently never addressed I believe it is staff's responsibility to provide adequate communication for the Board. They have failed to do so. There is apparently some problem caused by ARRL addresses being designated as spam sources by some ISP's. It is management and staff's obligation to attend to these issues. It is not a Director's responsibility to solve these problems. We have paid staff to do so. However, I suggest using Director's home email addresses for ODV and other email reflectors rather than CALLSIGN@arrl.org<mailto:CALLSIGN@arrl.org>, or anything to do with ARRL.org. Also, there should be some place on the arrl.org web-site where ODV and other reflector emails are available for view by the Board members. I also hope that some method can be found to rectify the problem and provide those of us who have not seen ODV and committee emails to view them. .73, Dick Norton, N6AA
